How we organized a medical conference with offline audience, remote speaker connection, on-air graphics, and broadcast to the MTS Link platform.

About the project

zolotov.studio provided the organizationof the online broadcast of the medical conferencefor the learning platformMedclick.The main organizer and sponsor of the event was the pharmaceutical companySotex.

The topic of the event was a professional discussion among doctors about the place of immunomodulators and antibiotics in practice:"Together or instead?". For such events, sound quality, broadcast stability, correct work with presentations, and convenient communication between all participants — both in the hall and online — are especially important.

The project was prestigious and required high precision: the medical audience has increased demands on the quality of content and organization of the broadcast, and any technical roughness directly affects the perception of the event.

Client's task

Our task was to conduct an online broadcast of a medical conference from a conference hall with signal output to the MTS Link platform.

Within the project, we needed to implement:

  • broadcast on 2 cameras
  • connection of a remote speaker
  • the ability for viewers in the hall to ask questions to the remote participant
  • installation of a teleprompter plasma for the in-person speaker
  • supply of audio equipment to the venue and work of a sound engineer
  • output of presentations and content to the venue screen and to the broadcast
  • development of on-air graphics for all possible scenarios

It was important for the client to conduct a training event for doctors at a high level, ensuring clear and comfortable communication between the in-person speaker, the audience in the hall, and the remote participant.

Preparation for the project

Preparation began 2 weeks before the event. This time was enough to calmly go through all the stages of approval and testing.

During the preparation stage, we:

  1. agreed with the client on the remote speaker connection scheme;
  2. described the logic of signal formation for the broadcast;
  3. prepared a set of on-air graphics in accordance with the client's requirements;
  4. conducted testing of the remote participant;
  5. coordinated the location of cameras, angles, and the installation point of the teleprompter plasma in advance;
  6. submitted a list of equipment and personnel for access to the venue.

Organization of remote speaker connection

Initially, the client planned to connect the remote speaker directly through MTS Link. We proposed a more manageable and professional scheme: connect the remote participant separately via Zoom, and then integrate their signal into the finished broadcast.

This solution provided several advantages:

  • we gained full control over the remote speaker's video signal and audio
  • were able to output them on air in a designed frame
  • got the ability to carefully combine the remote speaker's frame with the presentation
  • viewers on air did not see or hear technical connection moments
  • only the finished, cleanly designed signal entered the broadcast

For the client, this meant a more professional result and a more comfortable perception of the broadcast for the audience.

How the implementation went

1. Coordination of the broadcast scheme
Together with the client, we approved the remote speaker connection scheme, the logic of presentation output, and the signal structure for the broadcast.

2. Development of on-air graphics
Prepared a set of graphic scenes for all broadcast scenarios:

  • in-person speaker in frame
  • remote speaker in frame
  • remote speaker in a branded frame
  • speaker + presentation
  • two speakers in frame

3. Testing of the remote speaker
Checked connection stability, sound and video quality, and the remote participant's readiness for the broadcast.

4. Preparation of equipment and personnel
Formed a technical set and coordinated all organizational details with the venue.

5. Installation at the venue
Installation began 5 hours before the broadcast, and full technical readiness was achieved 2 hours before the start.

6. Final checks
Before the event, we checked:

  • sound at the venue
  • microphone operation
  • cameras and angles
  • presentation display
  • test broadcast to the MTS Link platform

7. Conducting the broadcast
On the day of the conference, the team ensured stable operation of the venue, correct switching of shots, clean sound, and precise synchronization of all broadcast elements.

8. Handover of the recording to the client
Immediately after the broadcast ended, the client received the recording of the event.

What technical solutions were implemented

For the project, a compact but reliable set of equipment was assembled, which allowed us to handle all tasks of the event with high quality.

  • 2 microphones and a digital mixer
  • 50-inch teleprompter plasma
  • set of switching and converters

Two cameras allowed us to simultaneously maintain a wide shot of the hall and the speaker, as well as quickly switch to a closer and more expressive shot during the speech and Q&A. For medical conferences, sound is critical: listeners must effortlessly perceive the speech, and the remote speaker must hear and understand everything happening in the hall. Therefore, special attention was paid to setting up the audio scheme.

What helped ensure broadcast quality

Although no difficulties arose during implementation, we foresaw measures in advance that minimize risks in such projects:

  • prepareda backup internet access point
  • conductedradio managementfor precise microphone tuning considering the frequency congestion at the venue
  • synchronized the start of the in-person event and the broadcast according to the speaker's signal
  • pre-tested all key nodes: remote connection, signal output, presentations, and graphics

This approach allows avoiding surprises on air and working calmly even under high responsibility.

Result

As a result, the client receiveda high-quality medical broadcast with professional graphic design, stable video signal and clean sound.

What was achieved:

  • the broadcast went without technical failures
  • viewers did not encounter viewing problems
  • the in-person and remote speakers could comfortably interact with each other
  • the audience in the hall had the opportunity to ask questions to the remote participant
  • the client received the broadcast recording immediately after the event ended

Conclusion

This case shows well that even a compact team and a well-thought-out technical setup can ensure a high level of conducting a medical conference — provided there is proper preparation, precise direction, and control of all signals.
