In spring 2021, representatives of the Moscow forum Trends of Beauty contacted us. This is a conference for representatives of the beauty industry: manicure masters, stylists, barbers, cosmetologists, etc. At that time, we planned to hold the first forum together, but did not manage to finalize all the details.
In the fall, we decided to try collaborating again: we started negotiations about the upcoming broadcast 2 months in advance, and two weeks before the forum, studio head Denis Zolotov went to Moscow to inspect the venue.
Task
The clients wanted toorganize a broadcastof the forum for all interested parties. The event lasted three days. Each day, six halls were used at the forum, where lectures and master classes were held for participants.
Solution
We discussed the details of the conference for 2 months. And ultimately came to the following solution:
- simultaneous broadcast on Boomstream and YouTube, 6 stages, a total of 12 broadcast streams;
- used 4 cameras on gimbals and 6 cameras on tripods;
- installed 6 television plasma screens at the venues for speaker presentations;
- 3 video directors worked in the control room;
- two sound engineers and one sound technician worked at the forum;
- a total of 18 microphones were at the venue.
YouTube may block the broadcast
The mainconference broadcastwas on YouTube, but we wanted to protect against possible blocking of the recording. Therefore, we chose Boomstream as a backup channel.
Our fears were confirmed. During a break, we played sponsor commercials. One of them used music in its video without paying for the right to use it. Because of this, YouTube blocked the broadcast recording. We had to cut out all the sponsor's videos to make it viewable again.
We want to warn you: always check the copyrights of the content you use for business purposes. A repeated warning will cause YouTube to limit the functionality of live streams on the channel.
All content used by the studio is licensed. Therefore, if YouTube issues a warning, we can always appeal this decision.
How we optimized the budget
On large broadcasts, one broadcast director is responsible for one hall. On this broadcast, only three worked. We went for this because there were no remote speakers in the broadcast, and each hall had one or two cameras. Also, the sound from all 6 stages was mixed on one large digital mixer. The kvazar.sound team was responsible for all sound on the project.

How we handled force majeure
The studio actively works on projects outside St. Petersburg. We have already established a scheme where we transport and accommodate employees in another city, and then send the equipment.
A day before departure, it turned out that the van that was supposed to carry the equipment from St. Petersburg to Moscow had an accident.

We started assembling the equipment only at seven in the evening and finished after midnight. We always plan work with a buffer — in case something happens and we need to deal with it.
The next day, we ran test broadcasts to ensure the internet connection was stable and the signal was sent to the platforms without distortion. And we started the main broadcast in the halls on time.
Results
The client was satisfied with the broadcast. We were able to optimize budgets, handle force majeure, and conduct a live broadcast at a high level, having checked all equipment before the event.

Now the third conference is planned for spring. We are ready to work and discuss the details of the new broadcast again.
